This is our vision for a state-of-the-art Polkadot event booth designed to elevate the ecosystem’s presence at major blockchain events.
We propose developing a premium, modular event booth that will serve as Polkadot’s flagship presence at major blockchain events. This sophisticated installation goes beyond conventional corporate presentations, offering an immersive experience that makes Polkadot’s innovative technology tangible and accessible to diverse audiences.

Thank you for the guidance! We’ve been exploring the appropriate way forward and are aware of the events bounty.
To clarify, our proposal focuses on the construction and storage of a high-quality, immersive Polkadot-themed booth, structured around a lease-purchase model. This means that while core booth elements (such as the structure, branding, and base setup) are purchased for long-term use, certain technical components (like LED lighting, AV equipment, and rigging) are rented per event to maintain flexibility and cost efficiency .
This proposal is not tied to a specific event yet—instead, it aims to establish a ready-to-deploy asset that can be used across multiple blockchain conferences and gatherings. For individual event deployments, we plan to submit separate proposals to the events bounty, covering transportation, setup, and operational costs on an event-by-event basis.
As part of our strategic planning, we have identified several key events in 2025 that would be ideal for deploying the booth, including ETH CC, Paris Blockchain Week, Token2049, Berlin Blockchain Week, Web3 Summit, and Polkadot Decoded. These events align with Polkadot’s community engagement, developer outreach, and institutional networking goals.
We are open to adjusting the proposal based on community feedback to ensure it best serves the needs of the ecosystem. Additionally, we are eager to collaborate with established event teams who are already contributing to Polkadot’s presence at conferences. Our goal is to create a flexible, high-impact resource that enhances Polkadot’s event strategy in a sustainable and scalable way.
We also asked ourselves whether this is something that should be proposed directly to the entire community or if we should engage with specific individuals or teams first to ensure alignment. To facilitate transparency and community input, we have now added the proposal to this discussion before proceeding with the on-chain submission.

So, for what i see here.
You are asking for 284410 USD for constructing ( and one year storage) AND additional 187800 USD per event( average for event in Europe, I wonder how much it cost to send it to Denver or Toronto). Just to be soft, it much more than what the ecosystem is spending in booths now.
btw, the cost of storage per year is hidden. How much is it?

Unlike previous booth setups, this proposal is not just a one-off spend but a modular, scalable asset that can be used and adapted for multiple years.
Regarding costs per event, $187,800 per European event (as outlined exemplary in our proposal) is actually below what premium-tier blockchain events typically charge for high-impact exhibition spaces. To put this into perspective:

These figures demonstrate that Polkadot's presence on major industry stages requires competitive investment to match the exposure and engagement levels of other leading blockchain ecosystems.
We understand concerns about storage costs. Our proposal explicitly includes one year of professional storage and maintenance in a climate-controlled warehouse at no additional charge. After that, storage renewal will be proposed separately based on real needs and event frequency.
Additionally, the design focuses on cost efficiency in transport—the booth is modular and can be adapted to avoid excessive logistics expenses when being shipped internationally. We will work with local event partners to minimize costs when moving outside of Europe.
This proposal is not about creating dependency but rather about providing Polkadot with a world-class event infrastructure that can be used flexibly across different regions and events. The modular structure allows the community to scale up or down as needed, and since our team has no exclusivity contract, Polkadot remains free to work with other vendors for alternative event setups if desired.
Ultimately, this proposal represents an investment in Polkadot’s long-term event strategy—one that reduces the need for ad-hoc booth designs at each event while ensuring a consistent and professional brand presence.
